Creating an Auction Event and Arrange Run Order


Learn how to create a new auction event that uses the catalog order template so that your inventory will be grouped by product families as inventory is allocated to the event.


You must have at least one Catalog Order Template, learn how to create a Catalog Order Template. Navigate to the Auction menu and select Auction Manager. 


Catalog Order Templates: Your inventory will fall into the bucket in the order the product family bucket is located.


Note: If you create an event without a Catalog Order template you can select one later if there is no inventory in the auction.


Here is an example of how allocating an item that is in the Backhoe product family is entered into the Backhoe product family on the auction lots page. These product families can be customized for your company inside of Innova.



To create a new auction event that will use your Catalog Order Template you can navigate to the Auction navigation option and select the Auction Manager option.


Hover over the "+" icon and click Create Auction Event.



Complete the Create Event forms and for the Catalog Order dropdown select the desired Catalog Order Template. If you do not have a Catalog Order Template learn how to create a Catalog Order Template.



Catalog Order on Auction Lots


As you allocate inventory to the event and items are sorted into the Product Family buckets. These buckets are in the order set inside of the Catalog Order Template.


Organize inventory inside of the product family buckets and fine tune any inventory that needs to be moved into other buckets.


1. Auction Lots audit notification (click the alert to see the issues such as missing lot numbers or out of order lot numbers)

2. Buckets based on product families. Click "View items" to see, and reorder, the inventory in that bucket.

3. The inventory based on the selected Agricultural (highlighted green) bucket.


Drag and drop items inside of a bucket to reorder inventory.


Click and hold the mouse button to drag the item up or down to adjust the order of the items inside of the current bucket. Release the mouse button to drop the item. This can only be done when the auction Run Order is unlocked.


Click on items that need to be moved to a new bucket. 


Click on one or more items and they will turn green to show they are selected. 


Once these items are selected click on the gear and select the "Move items" option. This will open a modal that shows the name of all available buckets and select which bucket to move items to.


 


Note: The buckets are named after product families, but moving items from one bucket will not change the category or product family of your item, just the bucket it will be located in. This grants you control and flexibility for how you order your auction event.


Assigning lot numbers to the items in a bucket

  • Manually assign lot numbers and save them before switching buckets.
  • Auto-assign lot numbers per bucket.
  • Click the refresh icon to sort the items in the bucket if they are out of order.
  • Check for the alert icon if there are duplicate lot numbers or if they are out of order.

Move the product family buckets around by dragging and dropping them unless the run order is locked.


Assigning Lot Numbers To Inventory


There are multiple ways to assigning lot numbers:

Auto-assign lot numbers to all items.

Manually assign lot numbers to the items in a bucket.


How to auto assign lot numbers to items inside of a bucket.


When viewing items inside of a bucket click on the gears above the item list to find the auto assign lots option. A modal will show and you will enter the starting lot number for this bucket.


Enter a number to start the lot number range for the bucket.


Once lot numbers have been auto assigned you can see the range of lot numbers for each bucket.


How to manually assign a lot number to items inside of a bucket.




Enter lot numbers, or late addition lots, inside of the fields that show. This option can be used with the auto assign functionality to fine tune or add last minute items to the auction. Click the save button when finished to keep your changes.




How to auto assign lot numbers to all items in the auction.


To assign lot numbers to all items in the auction simply hover over the action gear at the top right and select the Lock Run Order option.



Once the run order is locked there is an option to auto assign lot numbers for all of the inventory in the auction.




You will see that all of the items inside of the buckets now have a lot number.









Notes:

You can move items from one Product Family to another as you see fit to fine tune your catalog.
